Fee Regulations

Students, parents, and sponsors are advised that the following fees are for the 2011-2012 sessions. At this time the increases, if any, for 2012 summer session and the 2012-2013 sessions have not yet been set by the Board of Governors.

  1. Payment of Accounts

    1. The obligation to pay fees for a course or program is incurred upon registration, subject only to adjustments for officially recorded course drops, withdrawal, cancellation of registration or change of status.

    2. Students are requested to make their payments through internet banking or telephone banking. Payment may also be made by mail with cheques or money orders payable to the University of Victoria (do not mail cash). The address is:

    3. Students may also pay in person at the tuition counter on the 1st floor of the University Centre, Room 115, Monday - Friday, 8:30 am - 4:00 pm.

    4. An acceptance deposit payment is required for certain programs. See 2(a) below.

    5. The balance of fees is due by the following date:

      May 31, 2012

      Any additional fees resulting from subsequent changes in registration are due by the end of the month in which such changes are made.

    6. Students are responsible for ascertaining the courses in which they are registered. Students waitlisted for courses should monitor their registration status with both instructors and the online registration system.

    7. Students should drop courses using the registration system and not rely upon instructors to drop them due to non-attendance.

    8. Students are also responsible for ascertaining their fees from the Calendar and any Calendar Supplements or from mypage. Graduate students are also required to consult Graduate Records about their initial assessments and the effect of subsequent changes in registration.

    9. Statements of account are not mailed to students. Students may view their account balances on mypage, www. uvic.ca/mypage. Students unable to obtain their tuition fee information from mypage may call 250-721-7032, or 1-800-663-5260.

    10. Payments must be received by the Accounting Services Office by 4:00 pm on due dates (or preceding work day if the due dates fall on a holiday or weekend). Please ensure that correct student number is written on the face of all cheques.

    11. A service charge of 1.5% per month annualized at 19.56% is added to accounts not paid by their due date, at each month end.

    12. Students with overdue tuition or other accounts are subject to denial of services. These services include re-registration; holding of course registration in following term; addition of courses through online registration; use of libraries; access to classes and examination; issue of loans, awards, grades, transcripts, degrees, and documents certifying enrolment or registered status.

    13. Students who withdraw or otherwise leave the University remain liable for settlement of unpaid accounts. The University may seek to enforce its rights as a creditor through legal action or the use of collection agencies. Legal and collection costs incurred by the University in this process are added to students’ accounts.

    14. Tuition receipts (T2202A) are issued in February for the preceding year subject to (k) above and are available online from mypage.

  2. Fees for Undergraduate Studies

    1. All undergraduate students admitted for the first time to take credit courses must pay an acceptance deposit of $200 to Tuition Fees 24 hours prior to attempting to register. This deposit is payable regardless of any loan, scholarship or sponsorship arrangements. It is applied to the student’s fee account, but is forfeited if the student withdraws. If the deposit payment is returned NSF, the student’s registration is cancelled.

    2. Courses are generally assigned a fee unit value for the purpose of tuition fee assessment. This fee unit value is equal to the credit unit value except for the following courses:

    The UVSS provides a mandatory bus pass plan for all undergraduate and graduate students. U-Pass was approved by student referendum in 1999. The U-Pass fee is $78.50 per semester. U-Pass gives students unlimited access to all Greater Victoria BC Transit buses and HandyDart services at all times and on all days.

  10. Fee Reductions for Dropped Courses, Withdrawal, Cancellation of Registration, and Change in Status

    1. To obtain fee reductions, students must drop courses by either using Online Registration or submitting written notice of changes in registration to Undergraduate Records Services or Graduate Records when they take place. Where fee reductions are granted they will be based on either the date recorded in the Online Registration log or date written notice is received. Students should not rely upon instructors to make course drops on their behalf.

    2. Registered students wishing to withdraw from the University of Victoria must either write a letter or go to Records Services. If you drop all your courses or fail to attend classes you must notify Undergraduate Records Services (you are not automatically withdrawn from the University).

    3. Deadlines for obtaining fee reductions are different from academic drop deadlines.

    4. Tuition fee reductions - undergraduate students and auditors in undergraduate courses. Days shown are calendar days (not lecture) days.

      Please note: fee reduction deadlines are not the same as academic drop deadlines.

      All tuition fee reductions are subject to retention of the acceptance deposit described in 2a.

    5. Students withdrawing during 100% fee reduction periods will not be required to pay Athletics/ Recreation and UVic Students’ Society fees. These fees are not reversed when students drop courses in the 50% drop period and, are required to be paid.

    6. Appeals - UVic students should first contact Undergraduate Records Services, Main Floor, University Centre, if they believe a drop has not been properly recorded in their student record. Accounting Services should be contacted if a fee reduction for a dropped course has not been properly reflected in their fee account; or the appropriate Advising Centre if there are extenuating circumstances such as illness, accident, family affliction, etc

      If a student has followed the appeal process outlined above but is still not satisfied and feels that there is basis for an appeal of the unresolved fee reduction issue, then a written appeal may be made to the:

  11. General Fee Regulations

    1. The University reserves the right to change fees without notice.

    2. Proceeds of undergraduate awards received or granted by the University are credited to fee accounts.

    3. Payments and other credits in excess of total sessional fee charges are applied to other unpaid accounts. Any remaining credit balance for a session is refunded on request.

    4. Tuition fees for credit courses are exempt from the Harmonized Sales Tax (HST) however, HST may be required on certain other fees.
