Fair Schedule and Location

This year we are having an IN-PERSON SCIENCE FAIR that is organized by SAYS – the local organizing group.

Important Dates
January 22	Registration opens
January 22	Deadline for making a Request for Ethics Approval All projects that involve humans, animals or microorganisms require an Ethics Approval. Get this BEFORE you start your project. NOTE THIS IMPORTANT DATE
February 26	Deadline for Project Registration This includes: student info, project info – titles, etc.
March 12	Deadline for $35 Fee Payment and Submission of Complete Project Package Email your completed Registration Package to rmmarx@uvic.ca *** Include : Student’s “lastname_firstname + School name“ in the subject line of the email
February 23	Registration for judging opens:
April 1	Registration for judging ends:
April 12	Fair opens – Round 1 Judging in the morning Round 2 and Specialty judging in the afternoon Fair open to the public in the afternoon
April 13	Fair open to Public and School Tours Awards Ceremony – Winners announced!

The Fair will be run in the Elliott Lecture Wing at the University of Victoria.

Judges please convene in the Engineering & Computer Science Building room 123 for an organizational meeting the morning of the fair.

You can download a UVic Parking Map. The nearest public parking is in Lot #1 – grid C3. The MacLaurin Building is in grid A2. The Engineering & Computer Science Building (ECS) is in grid B3 not far from the Elliott Building.

Sunday, April 12, 2026 (Tentative)
Students	8:00 – 9:00	Exhibit Setup. (Your exhibit must be set up by 8:30 am, but you must stay at it until the Safety Check is completed)
Judges	8:30 – 9:00	Judges Arrive. Get badges and find groups in Engineering and Computer Science Room 123
Judges	9:00 – 9:30	Judges Orientation – in Engineering and Computer Science Room 123
Students	9:00 – 9:30	Welcome – Student Orientation to Parents and Students – Elliott 168
Judges & Students	9:30 – 12:00	Judging – Round I. Each entrant will see three or more judges.
Students	12:00 – 1:00	Break. Entrants are encouraged to look at other exhibits at the Science Fair
Judges	11:30 – 1:00	Deliberation and Lunch. Judges to rank exhibits and prepare for 2nd round of judging
Specialty Judges	12:00 – 1:00	Registration. Judges for Specialty Awards to get badges and exhibit information in Engineering and Computer Science Room 123
Judges & Students	1:00 – 3:00	Judging – Round II. Follow-up judging of selected exhibits and judging for Specialty Awards
GENERAL PUBLIC	1:00 – 4:00	Public Viewing of Exhibits
Students	1:00 – 4:00	All students should remain near their displays to interact with visitors to the Science Fair
Judges	3:00 – 4:00	Judging – Specialty Awards judging continues

Monday, April 13, 2026 (Tentative)
Students	9:00 – 10:00	Special Events for participants in Elliott Room 168.
GENERAL PUBLIC	10:00 – 12:30	School tours and public viewing.
Students	12:30 – 1:15	Awards Preparation: Student Lunch, proceed to MacLaurin Building after 1:15
Students & Public	1:30 – 3:00	Awards ceremony in room A144 of the MacLaurin building.
Overall Winners	3:30	Top Overall Winners meet with SAYS officials to receive forms for CWSF.
	4:00	Exhibits dismantled by 4:00pm.

Parents and Teachers

Only entrants and judges are permitted in the building during the first round of judging on Sunday from 9:30 – 12:00 . In order to ensure that the participants are judged fairly, everyone else must leave the building. The public is welcome during the 2nd round of judging but must not interfere with judging that may take place from 1:00 – 3:00 pm.

Parents

Students will be required to supply their own lunches each day they are on site. Vending machines are also available within the building for snacks.

Students

During the judging and at times during public viewing there may be periods when you will be waiting. It is a good idea to bring a book to read or something to work on during this time.
